Guide for business owners

Eight steps from your first receipt to a VAT Return you can trust.

1

Create your account

Register with your email address, confirm the link we send you and choose your language. You can invite your accountant later.

2

Set up your business

Enter your trading name, your UTR and, if you are registered, your VAT number and VAT scheme — standard, cash or flat rate. These settings drive every calculation that follows.

3

Connect your bank

Link your business account through Open Banking, or upload statements as OFX, QIF or CSV. Transactions appear ready to be matched.

4

Capture your receipts

Photograph a receipt in the app, or forward the supplier invoice to your private inbox address. The amount, date, VAT rate and supplier are read for you.

5

Check the categories

Open the entry and confirm the category and the VAT rate. UK Cashier learns from your corrections, so the next receipt from the same supplier lands in the right place.

6

Send your invoices

Raise a VAT invoice from a template, send it as a PDF and mark it paid when the money arrives — or let the bank feed match it for you.

7

Review your VAT Return

At the end of the period open the VAT screen. Every box is calculated from your records. Anything that looks unusual is flagged before you approve it.

8

Hand over to your accountant

Export to Xero, QuickBooks, Sage or FreeAgent, or invite your accountant into the account so they see the same figures you do.
